Patients & Devices

Patients are the people who answer questionnaires. In the Medipal web app a patient is a profile that clinicians enroll into questionnaires, pair with the Medipal mobile app, and follow over time through submissions, results and (where connected) clinical data.

The Patients page

Patients in the main navigation lists every patient profile the current user may see. From the list you can:

ActionWhat it does
Create Patient ProfileCreates a patient by hand: first and last name, email, phone number, date of birth and sex.
Search EHRFinds a patient in a connected hospital system and creates or links the profile from a match.
OpenOpens the patient page.
Edit / DeleteUpdates the profile or removes it. Deletion is limited to users with patient-management rights.

Creating patients from a hospital record is described in Clinical Sources (EHR).

The patient page

The patient page groups everything about one person into tabs.

TabContents
OverviewPaired mobile devices: name, model, operating system, app version, last connection, status. Also the pairing action.
EnrollmentsQuestionnaires the patient is enrolled in, their devices, and a Calendar view of when each questionnaire is due.
ResultsSubmissions with scores, charts linked to the questionnaires the patient answers, and a calendar of past submissions.
ClinicalObservations, conditions, medications, encounters and appointments from the connected EHR (shown only when linked).

Enrollments

An enrollment connects a patient to one questionnaire version with a start date, an optional end date and one or more schedules. The Enroll With Questionnaire action opens a short wizard: pick the questionnaire, choose the participants (the patient, and optionally providers, caregivers or guardians who answer on their behalf), set the dates and schedules, and confirm. The wizard warns when the patient is already enrolled in the same questionnaire.

Each enrollment row shows its status:

StatusMeaning
Pending ConsentCreated, but the patient has not yet accepted the legal documents.
EnrolledActive; questionnaires are delivered according to the schedule.
CompletedReached its end date or was marked as completed by a clinician.
Terminated by ProviderEnded early by staff.
Terminated by PatientEnded early by the patient from the mobile app.

Row actions let you View Answers, open the Calendar, View Legal & Consent (the documents attached to the questionnaire and the patient's acceptance records), Mark as Completed or Terminate Enrollment. Scheduling options are explained in Scheduling & Enrollments.

Pairing a mobile device

Patients answer on their own phone with the Medipal mobile app. Pairing links a phone to a patient profile so the app receives that patient's questionnaires.

  1. Open the patient page and choose Authenticate New Device on the Overview tab.
  2. Confirm that you are with the correct person and device.
  3. Ask the patient to install the Medipal app from the App Store or Google Play.
  4. Choose the platform and show the QR code. The patient scans it with the phone camera, which opens the app and completes the sign-in.
  5. If the camera cannot scan, use Manual Device Authentication: copy the pairing code and let the patient paste it into the app's authentication screen.
  6. Press Finish Authentication. The device appears in the Overview tab as Active once the phone has completed the exchange.

Before the app finishes pairing it shows the instance's published consent documents to the patient; see Consent Documents. What the patient sees on the phone is described in Pairing & Sign-in.

Patients who also have web-app access can pair their own phone from User Profile → Devices, which uses the same steps.

Managing devices

A device stays paired until it is set to Inactive or removed. Inactive devices keep their history but can no longer sign in or sync. Pair the phone again to reactivate it. A patient may have several devices at once.

The clinician dashboard

The home page of the web app is a folder browser plus a dashboard. Clinicians see:

  • Today, Overdue, Active patients and Recent results counters.
  • Needs attention: enrollments whose scheduled questionnaire is overdue, with how late they are.
  • Agenda: what is due today.
  • Recent results: the latest submissions with scores.

Each entry links to the patient page or the submission.
